Documents

The Documents set is where all of the word processing documents, like letters, are kept.

The screen is divided into four parts:

Command Bar

Icon Tool Tip Meaning
Open with external word processor Edit with external word processor
E-Mail Convert the document to PDF and e-mail it as an attachment.
Open Reads a file into the document.  The following types of documents can be read in:
RTF Rich Text Format
HTML HTML documents (web pages)
DOC Microsoft Word
XML XML documents
TXT Text
Save Saves the document as an external file. The following types of documents can be saved in:
RTF Rich Text Format
HTML HTML documents (web pages)
DOC Microsoft Word
DOCX Microsoft Word
XML XML documents
TXT Text
PDF PDF
Copy Copies the selected text into the clipboard
Cut Cuts the selected text into the clipboard
Paste Pastes the clipboard into the document
Undo Undoes the last operation
Redo Repeats the last operation
Set Text Color Sets the text color of the selected text
Set Font Sets the font of the selected text
Set/Clear Bold Sets/Clears the bold option of the selected text
Set/Clear Italic Sets/Clears the italic option of the selected text
Set/Clear Underline Sets/Clears the underline option of the selected text
Set/Clear Strikeout Sets/Clears the strikeout option of the selected text
Left Justify Sets text to be aligned on the left margin
Center in Page Sets text to be centered in page
Right Justify Sets text to be aligned on the right margin
Justified Sets text to be aligned on both margins
Ruled Print document as ruled (line 28)
Find Finds text in the document
Print Prints to the default printer with preview
Print Direct Prints to any printer without preview
Create PDF Creates a PDF from the document
Lock Converts the document into a Merged Form.

 

Tab Rack

The tab rack is displayed right above the text of the document:

The tab rack shows:

Icon Meaning

Tab position and type.  The types are:

LeftTab The tab position is at the left side of the text
RightTab The tab position is at the right side of the text
CenterTab The text is centered to the tab position
DecimalTab The decimal sign is aligned at the tab position
RightBorderTab The tab is positioned right most and the text is diplayed at the left of this position. Only one tab of this kind is possible in a paragraph
The left margin (bottom part) and first line indentation (top indicator).

Page Margins

You can set the page margins by adjusting the margin indicators on the tab rack and side rack, as shown in the red circles:

 

Text Area

The text area is where you can type text into the document.

 

Status Bar

The status bar is displayed at the bottom of the form:

It displays the page, line and column position of the cursor, the percent magnification (or reduction), and the status of the Insert, Caps Lock and Num Lock keys.

Menu Commands

When you are working in a document, two menu bar entries are enabled:

Format

The format option displays the following:

Bullets and Numbering   As shown in the menu image above, allows you to define a paragraph numberig (or bullet) layout

Text Background Color   Allows you to select the color for the background of the text
Document Background Color   Allows you to select the color for the background of the entire document

Table

The table option displays the following:

This option allows you to create and modify table-like text.

 

Spell Check

Spell check is done as you type. Any word not spelled correctly will be underlined in red. You can display a list of possible corrections by right-clicking anywhere in the word and selecting a replacement will replace the word.

 

Use of the Mouse Wheel

You can scroll up and down the document using your mouse wheel. If you press the Shift key while using the mouse wheel, you can scroll sideways. Holding the Control key allows you to zoom in and out of the document.

 

Merge Codes

Data is merged into the document by the use of embedded merge codes.

By using merge codes, you can create powerful templates that aid associates in the creation of final documents, using information from cases (or work product) as well as any other information in the database. Examples on how this work is shown here

 

Signatures

We are often asked about signatures, and eCandidus™ Desktop can support graphics signature, however a simpler method is to use a script font for any text that needs to look like a signature.  There are many free fonts available in the Internet, and one that we use and like is Scriptina by Apostrophe. Just use the merge code for the associate's name and have it render in script. Note that this type of signature is not valid for legal documents.

For legal documents, we suggest that you use locked merge forms which are easily created by the lock command.
