Handling the call...

eCandidus™ Desktop has a very powerful tool that allows you to review, note, create follow ups and bill from a single screen.

What is going on?...

The screen where most daily activity takes place is the History screen:

Simply review what has happen in the case using the review grid on the left side, and get more detail by clicking on any entry and see the detail on the right side.  Note that you can highlight key entries to make them easier to find, as well as categorizing each entry and then able to display each category easily.

 

Making a note...

Working with this screen, you simply click on the New icon:

which gives you a new note area, where you can type your note:

It is important that every action done with the case is documented.  This not only shows what is happening, and also helps you keep track of what is falling through the cracks, explained in more detail later in this document.

 

Follow up action...

A follow up action, which is a Thing To Do, can be easily created by clicking on the Add a Thing To Do icon:

A Thing To Do is created, and filled with most information.  Here we just added an extra line in the note:

Notice that we entered "depo 10/1/08" as the date.  This is translated to:

when we exit the field.  You can setup rules for your office on how many days (or weeks and months) to give yourself for various types of activities using the System:Settings Date Offsets settings:

This guarantees consistency in workflow through your office.  More information on dates can be found here.

 

An appointment is required...

Again from the History screen you can easily create an Appointment while making notes, simply click on the Add an Appointment icon:

An appointment screen is shown:

Clicking on the Schedule button brings up an appointment outline for the associate:

and clicking on a open date/time area sets the date and time in the appointment:

Once you are done with any follow ups required for the note, you can save the note by clicking on the Save icon.

 

Billing...

Before saving the note, you can easily bill for the work performed.  Simply change the type of entry (located below the note) to Billable Yes, and fill the billing information:

Key Use
Billable Describes the type of entry:
Note Only This is a note only.  No information will be given to Billing and Time Tracking
Yes The item is billable
No The item is not billable, use only for Time Tracking
As The associate whose rates are to be used
Code The code to be used for the entry.  These may be preset by the Billing Manager.
Units The number of units of time (or pieces of work) that the entry took.  Note that the value entered will be rounded as appropriate
Description The description of the entry.  Used in the invoice, and can be preset by the Billing Manager
Templates Clicking on the question button displays a list of templates that have been created by the Billing Manager for the code entered.  An example is shown below
